Monitoring Workflows

Monitoring Workflows

After setting up workflows, you'll want to make sure they're running correctly. The monitoring dashboard shows you exactly what's happening.

Accessing the monitor

Go to Automations > Monitor in your dashboard.

What you can see

  • Execution history — Every workflow run with timestamp, guest name, and result
  • Success vs. failure — How many messages were sent successfully vs. failed
  • Delivery status — Whether the WhatsApp message was delivered and read
  • Triggered count — How many times each workflow has fired

Understanding workflow status

StatusMeaning
SentMessage was successfully sent to the guest
DeliveredMessage reached the guest's phone
ReadGuest opened the message
FailedMessage could not be sent (see troubleshooting)
SkippedGuest didn't match the workflow filters

Troubleshooting failed workflows

Common reasons for failures:

IssueCauseSolution
No phone numberGuest record missing phoneCheck PMS data or add phone manually
Template not approvedWhatsApp template pending reviewWait for approval or use an approved template
Guest opted outGuest previously unsubscribedRespect their preference — cannot send
Daily limit reachedMax executions/day settingIncrease the limit or prioritize which guests receive messages

Adjusting workflows

Based on monitoring data, you might want to:

  • Change timing — If messages sent at 6 AM have low read rates, try 10 AM
  • Update filters — If short-stay guests don't respond, filter for 3+ night stays
  • Edit messages — If a message gets questions instead of answers, add more detail
  • Disable underperformers — Turn off workflows that aren't adding value
