WhatsApp Templates
WhatsApp requires pre-approved message templates for any message you send to a guest first (outside the 24-hour conversation window). vGuest makes it easy to create, manage, and use these templates.
Why templates?
WhatsApp's rules:
- Guest starts the conversation — You can reply freely for 24 hours
- You start the conversation — You must use an approved template (e.g., welcome messages, checkout reminders)
- After 24 hours of no reply — You need a template to re-engage
Templates are reviewed and approved by Meta (usually within minutes to a few hours).
Managing templates
Go to WhatsApp Templates in the left sidebar of your dashboard.
Creating a template
- Click Create Template
- Choose a category (marketing, utility, or authentication)
- Write your message — use variables like
{{1}},{{2}}for personalization - Submit for review
- Once approved, the template is ready to use in workflows
Template categories

Tips for approval
- Keep messages clear and professional
- Include your hotel name so guests know who's messaging
- Don't use all caps, excessive punctuation, or misleading content
- Utility templates have higher approval rates than marketing
Using templates in workflows
Once approved, templates appear as options when creating automated workflows. Select a template, map your variables (guest name, dates, room number), and the workflow handles the rest.
