Connect Your PMS
Connecting your Property Management System lets vGuest automatically import reservations, guest details, and stay information. This means the AI knows who your guests are, when they arrive, and how to personalize communication.

Don't see your PMS? Contact your account manager — we regularly add new integrations.
How to connect
- Go to Settings > Integrations in your dashboard
- Select your PMS from the list
- Enter the API credentials provided by your PMS vendor
- Configure sync preferences (how often to sync, which data fields to include)
- Click Test Connection to verify everything works
- Enable the integration
Your account manager can help you obtain the right API credentials from your PMS provider.
What gets synced
Once connected, vGuest automatically imports:
- Reservations — Booking dates, room assignments, guest count
- Guest profiles — Name, phone number, email
- Check-in/out status — Real-time updates when guests arrive or depart
- Special requests — Notes attached to reservations
How often does it sync?
Sync frequency depends on your PMS:
- Webhook-based (Optima, EzGo, SimpleBooking) — Changes sync in real time
- Polling-based (MiniHotel) — Syncs automatically every few hours
No PMS? No problem
If you don't use a supported PMS, you can still use vGuest:
- Manual entry — Add reservations directly in the dashboard under Reservations > Add Reservation
- CSV import — Upload a spreadsheet of upcoming reservations
- API — Use the vGuest API to push reservations from any system
Troubleshooting
| Problem | Solution |

| Reservations not appearing | Check that API credentials are correct and the PMS account has read access |
| Missing phone numbers | Some PMS systems require explicit guest consent to share contact info |
| Duplicate reservations | Make sure only one sync method is active (API or manual) |
| Sync stopped working | Re-check credentials — PMS API keys sometimes expire |
