Across the vGuest portfolio, about 97% of guest conversations arrive on WhatsApp. That concentration is why choosing the wrong provider is expensive: you are not choosing a channel, you are choosing how nearly all guest communication will work.
Who owns the number
This is the first question and most buyers never ask it.
WhatsApp for business runs on a WhatsApp Business Account registered to a legal entity. Some vendors register that account to themselves and lend you a number on it. It works identically day to day - until you leave, at which point the number your guests have saved, the conversation history, and the templates you had approved belong to the vendor.
The right arrangement is an account registered to your business, set up and managed by the provider. If a vendor cannot explain in one sentence whose name is on the account, that is the answer.
Read-only or write-back
A WhatsApp assistant that reads from your PMS can tell a guest their check-in time. One that writes to it can record the late check-out they just asked for, note the room preference, and attach the signed check-in form to the reservation.
That difference is the difference between an assistant that answers questions and one that does work. It also decides whether your front desk can see what the assistant did without opening a second system.
Ask specifically: which PMS, two-way or read-only, and which fields. Then test it by having the assistant change something and checking the PMS.
Where the escalation lands
The assistant will hand conversations to people. Ask where.
The useful answer is: on WhatsApp, to a group or a person on shift, with the conversation context attached. Not email, which is read at the start and end of a shift. Not a dashboard, which needs someone at a screen. Staff are on the floor, and the phone in their pocket is where the notification has to arrive.
Then ask what happens if nobody responds. A fallback destination and a time limit is the answer that prevents a request sitting unanswered overnight. Most vendors have not thought about it.
Voice notes and languages
Send the demo a voice note in a language nobody in the room speaks. Watch what comes back.
Guests send voice, and they send it in whatever they think in. A product that handles typed English beautifully and fumbles a Polish voice note is a product that will push your least-served guests back to the phone - which is the channel the deployment was meant to relieve.
The good answer is a reply in the guest's language, in your tone, without the guest having to ask for translation. Then put that reply in front of someone who speaks the language, because "correct but generic" is a real and common failure.
What the tiers cost at your volume
Pricing in this category scales with conversation volume, because that is what the vendor's own costs scale with - WhatsApp charges per conversation, and model inference charges per token.
So a quote that does not ask about your monthly conversation count is a quote that will change. Count your inbound messages for a week, multiply, and ask for the price at that number. Then ask what happens at double, because a working deployment grows volume - guests message more once they learn they get an answer.
Templates and the 24-hour window
Two WhatsApp mechanics worth understanding before you sign anything.
A business can reply freely to a guest for 24 hours after their last message. Outside that window, you can only send pre-approved message templates. Everything proactive - the pre-arrival message, the check-in link, the day-of-departure reminder - is a template, and templates need approval.
Ask the vendor how template approval works, how long it takes, and who writes them. A provider who has done this for many properties has a library of approved patterns; one who has not will have you waiting on approvals during onboarding.
The honest limits
WhatsApp AI does not fix a property whose information is out of date - it broadcasts the staleness faster. It does not replace a human on a complaint or a safety question, and the good products route those rather than handling them. And it does not work without a named owner at the property who keeps the answers current and watches the escalations.
What to do
Count your conversations for a week. Ask the five questions above of every vendor. Run the voice-note test. Then insist on a short pilot at real volume before a contract - a provider confident in the product will agree, and one who will not has told you something.
